Programme participants
This view lists all registered participants for all programmes with reduced information content or without programme participant details.
To display a pre-filtered list with the registered participants for a specific programme, in which the programme participant details are also immediately visible, open Programmes > Programme (group) and click on the Participants button in the Actions column for the relevant programme.
Explanation of the columns in the programme participant list

General
This block contains the basic information on registration:
- Programme
- Participants
- Unlocked
- Registration date
- Completed on
- Credits
History
All events in the programme are listed in this block. The list provides an overview of the programme participant's progress.
The "Registered" field can be used to filter for the events for which the programme participant has an event ticket. To do this, click on the "Registered" drop-down menu and select between "Yes" and "No", then click on Filter to apply the filter to the event history being viewed.
The "Event completed" field can be used to filter for events that are either completed or not completed. There is also the option of "all" filtering.
To return to the standard filtering, click on the "Reset" button.
The list can be sorted by the respective column in ascending or descending order by clicking on the respective column. The sorting order is indicated by an arrow next to the corresponding column.
The following information can be read from the columns:
- Event - The name of the event.
- Event date - Start date and, in the case of a recurring event, the end date of the event.
- Credits - Credits achieved and achievable for an event.
- Compulsory - Indicates whether the event is compulsory or optional.
- Registered - Indicates whether the programme participant is already registered for the event in question.
- Attended - Indicates whether the programme participant has already attended the event.
- Passed - Indicates whether the programme participant has already passed the event in question.
- Create / view tickets - Create an event ticket for a participant. The participant will not be notified automatically.
Certificates obtained
A list of the certificates that have been achieved. This list is updated by the system approximately every 6 hours. Each line shows the name of the certificate, when it was achieved, the credits and the option to view the certificate as a PDF.
Certificates not yet obtained
Required programme(s)/group(s) are displayed as an expandable diagram.
This makes it easy to see which courses have already been passed and which parts are still missing in order to fulfil the requirements specified for the certificate
Programme participants
View the participant details provided when registering for the programme and any uploaded documents.
Programme Edit participant data record
The following information about a programme participant can be edited:
- Participant
- Registration date
- Unlocked
- Completed on
- Comment - A comment only applies to the data record and cannot be viewed by the participant.
- Programme participant details - Provided that such details have been set up for the corresponding programme.
Contact a specific programme participant
- Click on Actions > Cover letter.
- Fill in the email form.
- Click on the Send email button to send the email.
Alternatively, click on the Discard button to delete the draft and close the form.
Template or message template
If message templates have been set up, the email can be quickly pre-filled using such a template. To do this, click on the template drop-down menu and select the desired message template. The email draft is filled out according to the message template.
Subject
The subject serves as a short and precise summary of the content of the email to provide an overview of the message.
Body or content
The body contains the content of the email, e.g. information, enquiries or messages that you would like to send to the recipient.
Attachments
Attachments are files that are attached to an email and provide the recipient with additional information or documents. When receiving an email with attachments, the recipient can download and open these files to access the content.
Contact multiple programme participants
- The starting point is the overview of the programme groups Campus Events(Backend) > Programmes > Programme(-group)
- For the appropriate programme group, click on Participants in the Actions column.
- A new view opens with the appropriate list of participants in the programme(s) group.
- The participants to be contacted are selected.
- In the footer of the list, select Contact from the drop-down menu and then click on the OK button next to it to open the circular mail form.
- Follow the steps in the circular mail form to prepare and send the e-mail.
How does a user register for the programme?
The following describes how a person registers for the programme in the front end and manages their progress in the programme.
- A Campus Events account is required to register for a programme.
- Log in with a Campus Events account.
- At the top of the Campus Events website, the user info line is displayed with your first name and surname.
- Click on the user info line to display the drop-down menu. Then click on the My profile menu item to display your own dashboard.
- In the dashboard, click on the To programmes button under Programme overview to display and manage programmes.
- The currently available programmes are listed in the Other programmes section.
- Click on the Register for programme button for the desired programme to open the registration form.
- Complete the registration form and then click on Register. A message about the successfully submitted registration is displayed.
How does a programme participant manage their progress?
All programmes for which a registration has been made are displayed under My programmes.
As soon as the person responsible for the programme activates the registration, the Details button is also displayed.
Click on the Details button to display the progress of the programme.
A percentage progress bar is displayed as well as a tree diagram showing the structure and progress of the programme. The tree diagram shows the dependencies of the programme groups as well as completed and available events.
The plus button can be used to expand more information on the group or programme.
