Groups and events form the building blocks of a programme.

The structure of a programme corresponds to that of a tree. The root corresponds to a programme.

The basic settings are defined in the programme, e.g. registration for the programme, visibility of progress for participants... . Groups can be assigned to programmes and groups. Events can be assigned to groups and programmes by means of links.

Users can register for programmes and events themselves in the front end and view the progress of the programme. (The programme participant is only shown events that have the following status: "completed = no" or "completed = yes + participated = yes")

Putting together a programme

To create a programme, the following steps are generally carried out.

Manage programme (group)

This is the area for managing and creating programmes and groups. Each row corresponds to either a programme or a group. A programme can be recognised immediately by the empty parent column. Groups always have a parent element.

Programme titleProgramme description
NameThe name of a programme or group.
Superordinate
  • If the data record corresponds to a programme, the "Superordinate" column remains empty.
A programme itself is already the root node and is therefore at the top or has no superordinate elements. If the "Superordinate" column is not empty, then the data record named under "Name" is a group, otherwise it is a programme.
  • If the data record corresponds to a group, the branch or path to which the data record is attached is displayed.
The parent element of a group can only ever be a programme or another group.

AEs (work units) X / Y

Display of the extent to which the configuration of the target number of AEs per group or programme is fulfilled.

  • X corresponds to the number of defined credits in the group or programme. This is the number of credits that must be achieved to complete a programme or programme group.
  • Y is the total number of credits that add up from the directly linked courses and groups. Sometimes there is a collection of courses, e.g. electives, from which students can choose for a programme (group), Y is the total number of credits that are available through such a collection.

If X < Y, then the field is filled in red to indicate the lack of available credits on the programme(group).

Actions > Show
Show details of the programme or group. The following are displayed: i) General information and ii) Subgroup diagram.
The subgroup diagram shows the structure of the programme or group under consideration and the events linked to it.

Note: Events are linked and managed with programmes or programme groups under Links.

Actions > Edit
Edit the existing configuration of a programme or group.
Programme configuration: The following settings can be configured in the programme form.
Group configuration: The following settings can be configured in the group form.

Actions > Participants
Display the list of participants together with the participant details entered.

Create programme

The properties and behaviour of the programme are defined here.
Groups and events are assigned to the programme in other places. See: Putting together a programme.

Steps

  1. Click on the Actions drop-down menu at the top right.
  2. Click on New programme in the drop-down menu.
  3. The form for setting up a new programme opens.
    1. Configure the programme using the form.
    2. Finally, scroll all the way down and click on the Add button to complete the programme setup. You can now add groups and events to the programme.

The following settings can be configured in the programme form

ActiveSpecify whether the programme is hidden or listed in the frontend.
SortingSorting is specified with a numerical value and should be considered in the overall context of the group hierarchy. Elements with a low value are listed first.
Credits requiredNumber of credits awarded for successful completion of the programme.
Maximum achievable creditsYou can specify whether more credits can be achieved than are required to pass the programme. Leave blank for unlimited.
Number of subgroups to be passedIn order to pass this programme group, at least as many subgroups must be passed as specified.

Contact personContact person or contact person for the programme.
Create task for new participantsIf there is a new registration for the programme, Campus Events automatically creates a new task with the name New programme participant: <first name last name> for this and assigns this task to the contact person selected in the programme. The assignment to the programme is described in the task description. If no contact person is selected in the programme, the tasks are not assigned to any person and everyone from the corresponding client/area will be able to see these tasks.

Create group

Groups and events form the building blocks of a programme. Groups can be assigned to programmes and other groups. Events can be assigned to groups and programmes.

Note

The settings for a group are defined here.

It is not possible to set up a loose group. A group must always be assigned to a higher-level element. The superordinate element can be a programme or a group. It is therefore possible to create any number of subgroups in a programme.

Steps

  1. Click on the Actions drop-down menu at the top right.
  2. Click on New group in the drop-down menu.
  3. The form for setting up a new group opens.
    1. Configure the group using the form.
    2. Finally, scroll all the way down and click the Add button to finalise the group setup.

The following settings can be configured in the group form

Group titleGroup description
SuperordinateDefine the affiliation of the overriding programme or group.
NameIdentification of the programme.
ActiveSpecify whether the group can be used.
Sorting

Sorting is specified with a numerical value and should be considered in the overall context of the group hierarchy.

Elements with a low value are listed first.

MandatoryTo pass the higher-level programme group, this programme group must exist. This only applies to the directly superordinate group; the superordinate group does not automatically become mandatory for its own superordinate group!
Required creditsSpecifies the minimum number of credits required to complete the programme group.
Maximum achievable credits

Here you can specify whether more credits can be achieved than are required to pass the programme. Leave blank for unlimited.

The maximum number of credits achieved can then be transferred to higher-level groups (provided there are no further restrictions).

Number of existing subgroupsIn order to pass this programme group, at least as many subgroups must be passed as specified.
DescriptionInformation on the content and aim of the group.
Internal notesInformation that can be used internally to manage the group.
